MentorWorks Education Capital, a workforce development company, is looking for a Payroll Specialist to join one of our employer partners.

JOB DESCRIPTION The Payroll Specialist will administer and process the US payroll, ensuring compliance with government regulations, in order to ensure accurate and timely processing of all employee wages, garnishments, union dues, benefits and tax deductions.
The ideal candidate should be comfortable working in a fast-paced environment and managing multiple pay frequencies.
Responsibilities:
o Administer accurate and timely processing of multi-state payroll data, with relevant controls, using integrated payroll and HRIS systems.
o Ensure the prompt and accurate processing of funding transactions related to 401k Retirement Savings Plans, pensions and Non-Qualified deferred compensation, whilst abiding by all compliance requirements.
o Oversee the accurate and timely processing of payroll updates, including new hires, terminations, and changes to pay rates.
o Prepare and maintain accurate records and reports of payroll transactions.
o Process special year-end earnings in coordination with the Finance department, such as personal use of company auto, relocation costs, and other applicable taxable income to be included in W-2.
o Guarantee the timely completion of all state registrations and other tax-related compliance matters.
o Administer the control, processing, and generation of annual W-2 forms.
o Stay informed of changes in reporting requirements in payroll taxes (federal, state, local), interpreting changes and providing best practice solutions.
o Regularly partner with the HRIS and Finance teams for continuous process improvements.
o Work with internal teams and vendors on integration projects.
o Review and verify payroll and HRIS syncing of data.
o Maintain payroll data integrity and oversee proper security levels for assigned ADP system access.
o Regularly partner with finance for all GL mapping changes.
o Collaborate with benefits to accurately and timely process all leave of absence payments.
o Facilitate audits by providing timely records and documentation to auditors.
o Perform other duties as assigned.
Requirements:
o Minimum of 5 years' experience processing and managing multi-state payrolls (union & non-union environments also required).
o Bachelor's Degree (Business and/or Accounting).
o In-depth knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
o Ability to work in a team environment with strong organizational and communication skills and attention to detail.
o Strong analytical and problem-solving skills.
o Proficiency with Microsoft Office Suite.
o Proficiency with ADP WFN and Workday HRIS.
o Tech-savvy and comfortable working with multiple systems and file integrations.
o CPP (Certified Payroll Professional) is highly desirable.
o Ability to serve as a change agent; driving process improvement and innovative thinking.
o Creative, results-driven individual with proven leadership capabilities; able to think outside the box and offer best practice solutions.
Must have permanent US work authorization.
